Reminder to Electronic Remittance Advice (ERA) Customers (GEN) - Revised 4-4-07

Due to numerous requests for recreations of remittance files, we have extended the number of days that they will be available on MeG from 15 days to 60 days. Therefore, the files accumulated in your home directory will increase each day. To search for information, you may find using the *.* command cumbersome given the number of files stored in your home directory. You may wish to now download information using the Julian date. Julian date calendars are available for download from the Julian Date Calendar section of our Web site.
Retention of ALL Downloadable Files
In addition to Electronic Remittance Advice (ERA) files, as mentioned above, the following reports will also be available for download for 60 calendar days from the date of posting: Batch Detail Control Listing (also known as the RAR04 or Error/Acceptance Report) files, Functional Acknowledgement (997) files, and 277 Status Request Response files.
Customers who signed up to receive ERA files from the Upstate Medicare Division (UMD) must be sure to download them on a regular basis. As mentioned above, these files are available to download for 60 days. If they are not downloaded during the 60-day time frame, it is not always possible to recreate them to download at a later date. If it is possible, there will be a charge of $25.00 per request to restore files. There is a limit of eight (8) Julian dates per request. If you require greater than eight (8) Julian dates be restored, additional requests must be submitted using the “Request to Have Electronic Remittance Advice Files Restored to the Medicare Electronic Gateway (MeG) System for Download” form.
In order to prevent this from happening to you, be sure to download all of your ERA files promptly. This includes files for payments, as well as files that may include only claims that were not paid.
Download Retrieval Information for Electronic Remittance Advice (ERA)
Your remittance files will have an assigned Julian date of the next business day following the claims processed date. For example, claims processed January 2, 2008, will be downloaded on January 3, 2008, with a Julian date of 003 (January 3, 2008).
Note: This does not include holidays. Please check UMD's Holiday Schedule to determine the next business day after a holiday.
Also, claims on which UMD makes no payment could finalize on any business day, so it is very important to check for an ERA file for every business day. There may be a file available for the customer even if no payment was received. Even if the customer connects to download ERA files only once a week, or once a month, when the customer does connect to our Medicare Electronic Gateway (MeG) system, the customer must look for a file under each business date since their last download. This is the only way to be sure that all files, including the “no pays” are received. These files are especially common early in the calendar year when many beneficiaries have not yet met their deductibles, so no payments are made on their claims. Again, if these files are not downloaded during the 60-day time period when they are available, it may not be possible to recreate them, and if it is possible there will be a charge for the recreation.
Customers who request that ERA files be created for them assume the responsibility of downloading those files and processing the information within them. Please contact our EDI Help Desk at 866-528-8097 with any questions, or if you need help downloading your ERA files while they are available.
HIPAA 835 and NPI

During Stage 2 of the National Provider Identifier (NPI) implementation, beginning in October 2006, if an NPI is submitted on a claim for a rendering provider, that NPI will be returned in the 835 electronic remittance advice (ERA) HIPAA version 4010A1. Please direct your vendor to changes in the mapping of 835 loops and segments affected by this change. See October 2006 Release Information in the Vendors section of our Web site.
General Remittance Info
Remittance files are available on the Medicare Electronic Gateway (MeG) as zipped (compressed) files. We prefer that you retrieve your remittance files as compressed files. Your computer software must be PKZIP 2.04 compatible. If you are not retrieving remittance files in this format and wish to do so, please contact the EDI Services Department. |
